Event Night Setup
Use this as the run sheet before people arrive.1. Create The Event
- Go to Events and create the event name, type, start date, end date, and player cap if needed.
- Set Play areas / tables to the number of places people can play at the same time.
- Put visible signs on the tables or play spots using the same labels the match board will show: Table 1, Table 2, Table 3.
- Use Events later if the date, event type, cap, or play-area count needs to change.
2. Register And Check In Players
- Players can register from the Player Portal before the event.
- Open Arrival Check-In on an iPad when people arrive.
- Registered players move to checked in when they tap their name.
- Use the Dashboard attendance list to see who is registered, standby, missing, and checked in.
3. Set Up TV Displays
- Go to Display Boards and choose the display nickname.
- Select the event that display should show, then save.
- Open the selected display on the TV browser and use full screen mode.
- For multiple TVs, give each display a nickname so you know which screen is showing which event.
4. Audio Plan
- Use Google Home speaker groups for whole-house audio instead of making each TV play music separately.
- Start the playlist, radio, or YouTube audio from your phone or computer and cast it to the speaker group.
- Keep TV display audio muted unless you intentionally want local audio at that screen.
- Control volume and playback from the Google Home app or the casting device.

People Flow
Have one arrival/check-in spot, one clear place for questions, and one person responsible for entering winners.
Network
Make sure the TVs, iPad, manager laptop, and Google Home devices are on reliable Wi-Fi before players arrive.
Supplies
Keep extra dice, counters, paper, pens, sleeves, chargers, extension cords, trash bags, and wipes nearby.
Closeout
Mark the event complete, check that all matches have winners, review standings, and send the follow-up email.
Database
After GitHub deploys code with database changes, run pending schema migrations here. This does not import seed data or overwrite live matches.
Site Appearance
Player Feedback
Recent feedback submitted from the player portal.
Help Requests
Page-aware change requests and error reports submitted from the help button.
Email Configuration
Saved email settings are write-only from this page.
Email Templates
Create reusable follow-up email openings with per-player variables. The system still adds the logo, public event stats link, stat cards, deck table, and matches table when the email sends.
Template Variable Help Guide
Use double braces in the subject or message. Example: {{player.display_name}}. Variables are replaced separately for every recipient.
Preview Player Portal
Open the site exactly as a selected player sees it. Preview mode is read-only and keeps your manager login active.
Admin Settings
Owners can add admins, remove admins, change roles, deactivate access, or set a new temporary password.
Merge Player Account
Use this when someone creates a new player account but needs it connected to their older match history. The duplicate login password is kept.
If both players already have login accounts, the merge will stop so a password is not accidentally discarded.
